Top 10 File Prep Mistakes to Avoid

Most file trouble starts with missing approval or context, not a lack of fancy software. Check these ten handoff problems before submitting, then match the exact approved file to customer- or installer-approved dimensions and the written production specification.

Low Resolution Images

The Problem: A small web download or preview is enlarged without checking its effective pixel density. The resolution label alone does not add detail, and enlargement can expose blur, compression blocks, or jagged edges.

The Fix: Start with the largest clean original and evaluate it at the intended finished size and viewing distance. Keep logos and lettering as vector paths when a suitable source exists.

Check: Record the image's pixel dimensions and placed size. If a file is marginal, flag it before anyone treats the mockup as production-ready.

RGB Color Mode Instead of CMYK

The Problem: The file arrives without a color profile or target reference, or someone converts it blindly and discards the source. Screen previews cannot define how every ink, material, finish, and lighting condition will look.

The Fix: Preserve the original, embed its profile, identify brand-critical colors, and provide approved spot-color references or physical samples when available. Confirm the production color workflow, comparison method, and acceptable tolerance before converting or approving color-critical work.

Check: Highly saturated, fluorescent, metallic, white-ink, and clear-material effects need process-specific discussion rather than a generic CMYK promise.

Forgetting to Outline Fonts

The Problem: Live text opens with a missing or substituted font, or all text is outlined before the copy is approved and can no longer be edited easily.

The Fix: Keep one editable source file, then make a clearly labeled output copy with final display text outlined when appropriate. Identify the fonts and share font files only when licensing permits it.

Check: Proofread before outlining and again after export. Outlining preserves shapes; it does not catch a misspelled name.

Guessing at Bleed or Cut Paths

The Problem: Artwork stops at the trim edge, or a generic bleed and cut path are added without knowing the material, size, finishing, or cutting method.

The Fix: Confirm the required bleed, path naming, offsets, and minimum features for the selected product. Keep cut geometry on a distinct vector layer, extend backgrounds beyond the confirmed trim where needed, and have the customer or qualified installer approve any field-derived shape, hole, or mounting geometry.

Check: Banners, rectangular panels, kiss-cut decals, through-cut stickers, and routed shapes do not necessarily share one setup.

Important Content Too Close to the Edge

The Problem: Text, borders, or logos crowd the finished edge or collide with holes, hems, pole pockets, frames, standoffs, or other hardware.

The Fix: Build a safe area around every production feature, not only the outside trim. Size that margin for the product, hardware, cutting tolerance, and visual design.

Check: Add visible guides for trim, safe content, hardware, and any folds; keep those guides out of the final printed artwork.

Wrong File Size or Scale

The Problem: The artboard, quoted size, and file name disagree, or a reduced-scale document arrives without the scale. That ambiguity also changes the effective resolution of placed images.

The Fix: Start with final field dimensions supplied and approved by the customer or qualified installer. Work at finished size when practical; otherwise state the exact scale in the document, file name, and project notes, including units and whether dimensions describe the finished piece or the artwork area.

Check: A useful name is specific: "north-window-48x96in-front-v3.pdf" beats "FINAL-final2.pdf."

Using the Wrong File Format

The Problem: A screenshot, office document, flattened preview, or compressed export is treated as the only production master even though the editable or vector source exists elsewhere.

The Fix: Send a review PDF plus the strongest editable source and original images available. Keep layers, paths, profiles, and transparency when they are relevant, and confirm which formats the selected workflow accepts.

Check: Open the exported file on a second device and compare its page size, fonts, images, transparency, and number of pages with the source.

Embedded Images Missing or Linked Incorrectly

The Problem: The layout references images, fonts, or other assets that stay on the designer's computer. The handoff opens with missing links or lower-quality proxies.

The Fix: Use the design application's package feature or gather every linked asset in an organized folder. Include a review PDF so the intended result remains visible if a source link fails.

Check: Reopen the packaged file from its new folder before sending it; this catches links that still point outside the package.

Spelling and Content Errors

The Problem: A name, phone number, address, date, price, arrow direction, room number, or disclaimer is wrong in the supplied artwork. Production-ready graphics cannot determine which business facts are current.

The Fix: Assign final artwork and copy approval to a named customer reviewer. Compare critical text with its source record, read numbers aloud, have the responsible field party verify directional information, and review every version—not just the first one.

Check: Review a clean PDF or paper copy away from the design interface; guides and familiar screen context can hide mistakes.

Not Providing Clear Instructions

The Problem: The file arrives without the intended product, dimensions, quantity, material or use, front/back orientation, mounting context, version status, or deadline constraints.

The Fix: Include a short production note and match its identifiers to the files. Separate approved production specifications from preferences and from field decisions that still belong to the customer or qualified installer.

Check: The project form collects the main context in one place; reference exact file names inside the project description.

Approval Is Not the Same as Preflight

Customer approval covers copy, spelling, layout, versions, orientation, colors and references, reproduction rights, quantities, customer- or installer-approved final dimensions, and the exact file authorized for production.

Production preflight checks file mechanics against the written specification, such as size or declared scale, links, fonts, image quality, profiles, bleed, safe areas, cut paths, separations, sides, and finishing notes. Conflicts should be resolved before production rather than guessed.

Preflight does not verify field dimensions, site fit, mounting design, structural or electrical suitability, permits, code compliance, access, or installation. Any design, rebuilding, correction, or prepress work beyond the confirmed production review must be included explicitly in the written quote.

Quick Checklist Before Submitting

  • ✓ Bleed and customer-approved cut geometry match the confirmed product setup
  • ✓ Sides, orientation, quantities, and versions are labeled
  • ✓ Copy and directional information have an approver
  • ✓ File names match the project instructions and identify the approved production file
